道歉信(Letters of Apologies)
道歉信是写信人对未尽之事向收信人表示歉意。语言要诚挚,解释的理由要真实,不要显出丝毫虚情假意,从而使收信人理解,并达到最终谅解。

I am sorry that I must apologize for not being able to help you when you asked me to give you a letter of introduction to the director of the National Institute of Oncology of my country.

英语应用文写作之E-mail
随着电脑走进千家万户,一张无形的巨网也悄然织起。这就是Internet(因特网,国际互联网)。一旦连接了Internet,信息传递就成为一件非常轻松惬意的事情。在网上最常使用的服务就是E-mail(电子邮件,electronic mail,常缩略为E-mail,e-mail 或email),这是因为电子邮件不但使用方便、传播快捷、可以一信多发,而且价格十分低廉,特别适合国际间的交流。
那么e-mail有什么写作要领呢?
首先,必须要标题(Heading)栏的“收件人(To)”框中输入收信人的E-mail 地址。“主题(Subject)”框的内容应简明地概括信的内容,短的可以是一个单词,如greetings;长的可以是一个名词性短语,也可以是完整句,但长度一般不超过35个字母。“主题”框的内容切忌含糊不清。像News about the meeting 这样的表达,应改为Tomorrow’s meeting canceled。一般来说,只要将位于句首的单词和专有名词的首字母大写即可。另外一种较为正规的格式可将除了少于5个字母的介词、连接词或冠词之外的每一个单词的首字母大写,如:New E-mail Address Notification。视信的内容是否重要,还可以开头加上URGENT或者FYI(For Your Information,供参考),如:URGENT:Submit your report today!
E-mail一般使用非正式的文体,因此正文(Body)前的称呼(Salutation)通常无须使用诸如“Dear Mr. John”之类的表达。在同辈的亲朋好友或同事间可以直呼其名,但对长辈或上级最好使用头衔加上姓。如:Tommy,或者Mr. Smith。
E-mail文体的另外一个特点是简单明了,便于阅读,太长的内容可以以附件的方式发出。一个段落大多仅由一到三个句子组成。信尾客套话(Complimentary close)通常也很简明。常常只须一个词,如:“Thanks”,“Best”,“Cheers”,不需要用一般信函中的“Sincerely yours”或“Best regards”。称呼和正文之间,段落之间,正文和信尾客套话之间一般空一行,开头无须空格。如:

另外,网友们为了给枯燥的文字加入感情色彩,还创造了一种表示感情的小符号,英语叫smiley.如: :-)代表“I’m smiling at this”, :-(代表“I’m sad about this”。
上述缩略词和小符号要视具体情况而定,不宜滥用。
E-mail的非正式的文体特点并不意味它的撰写可以马虎行事,特别是给长辈或上级写信,或者撰写业务信函更是如此。写完信后,一定要认真检查有无拼写、语法和标点符号的误。当然Outlook Express等软件的“拼写检查”功能可以助你一臂之力。

Language Tip for replying to an angry complaint
In the reply to Mr Hakala"s letter, Vincent Li Kit Wai used the expression "I will be checking" and "I will be training".
When you’re writing a letter or e-mail replying to an angry customer who has a complaint, you need to be as impartial and as polite as necessary.Also, in order to transmit the feeling to the customer or client that you are committed to taking action, use ‘will + infinitive’ in sentences you use to promise the customer/client that you want to find a solution to their problem.

I will be training staff myself.·
This will not happen again.·
I will investigate the matter...
This transmits a feeling that you strongly intend to take action and leaves the customer or client with a positive feeling that their complaint will be acted on.

I reserved a table at your restaurant because a colleague of mine in Shanghai recommended it as a perfect place to show foreign visitors (especially business people) the very best of Shanghainese cuisine. My experience leaves me with little doubt that this is one of the worst restaurants I have ever eaten in.

一、概述
备忘录是一种录以备忘的公文。在公文函件中,它的等级是比较低的,主要用来提醒、督促对方,或就某个问题提出自己的意见或看法。在业务上,它一般用来补充正式文件的不足。它的内容可以分为以下几项:
书端(Heading)
收文人的姓名、头衔、地址(Addressee’s Name, Title, Address)
称呼(Salutation)
事因(Subject)
正文(Body)

二、备忘录写作注意事项
1、书端部分包括发文机关的名称、地址、发文日期,有的还包括电报挂号、电传号、电话号码等。许多机关有自己特制的信笺,在写书端时,其格式和标点符号的使用与一般信件的相同。
2、称呼从左边顶格写起,对一般机关、团体的负责人一般用 Dear Sir, 对政府官员可用Sir。
3、正文、结束语和署名等项与一般信件的格式相同。“事因”一项目前采用得较少。

编辑注:“remind”一词用法比较多,可以在后面直接接人或宾格,如“提醒我”译为“please remind me”。如果提醒某人某事则用“remind somebody of something”,也可以在后面加从句,即“remind sb that”,“remind”还有一个意思为“使想起”同样用“remind…of…”的结构,应注意与提醒某事区分。

编辑注:在写备忘录的时侯,一定要注意它的格式,尤其要在开头写清楚是谁写给谁来备忘的,用“From: /To:”两个单词即可。文中的“badly”是“非常的,迫切的”意思。短语“in order to”同下句的“so that”意思是一样的即:为了,目的是。不同的是前者后接动词原型而后者常跟目的状语从句 ,类似的短语还有“in order that”,用法与“so that”相同。

However, I don’t think so. I personally think that, to accomplish this, we should give the employees more incentives to work faster. I feel that if we ( the supervisors) could meet with you , we could discuss different possiblilities to create such incentiveness.
